Roomedial is operated by Ross Weaver, Remedial Therapist, ABN [13 509 715 387], based in Woolgoolga and Emerald Beach, NSW. We are committed to protecting your privacy and handling your personal and health information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What information we collect
We collect the following information when you book or receive treatment at Roomedial:
Personal details — name, date of birth, address, phone number, email address
Health and medical history — current and past conditions, medications, surgeries, injuries
Treatment information — assessment findings, treatment notes, progress notes
Lifestyle information — occupation, activity levels, sleep, stress (relevant to treatment)
Payment information — processed securely via Stripe, not stored by Roomedial
Health fund details — for the purpose of processing rebate claims
2. Why we collect it
Your information is collected to:
Provide safe and effective remedial therapy treatment
Maintain accurate clinical records
Process health fund rebate claims
Send appointment confirmations, reminders and follow-up communications
Meet our legal and professional obligations as a Massage & Myotherapy Australia member
3. How we store it
All client records are stored securely in Cliniko, a practice management system that uses encrypted, Australian-hosted servers and complies with Australian privacy legislation. Paper records, if any, are stored securely and disposed of appropriately.
We take all reasonable steps to protect your information from misuse, loss, unauthorised access, modification or disclosure.
4. Who we share it with
Your information is kept strictly confidential. We will not share your personal or health information with any third party without your consent, except in the following circumstances:
When required by law or a court order
In the event of a referral to another health professional, with your consent
To your health fund for the purpose of processing a rebate claim, with your consent
In an emergency where your safety or the safety of others is at risk
5. How long we keep it
In accordance with NSW health records legislation, client records are retained for a minimum of 7 years from the date of last treatment, or until a minor client turns 25, whichever is later.

You have the right to:
Access the personal and health information we hold about you
Request corrections to any inaccurate or incomplete information
Request that we delete your information, subject to our legal record-keeping obligations
Withdraw consent to receive marketing communications at any time

7. Communication and marketing
From time to time we may send appointment reminders, health tips or updates about Roomedial. You can opt out of marketing communications at any time by replying to any email with "unsubscribe" or contacting us directly. Appointment reminders are considered part of the clinical service and cannot be opted out of while you are an active client.
8. Website and cookies
Our website (roomedial.com) is hosted on Squarespace. Squarespace may collect standard analytics data including IP addresses and browser information. We do not use this data to identify individuals. Our online booking is handled through Cliniko, which has its own privacy policy available at cliniko.com.
9. Complaints
If you have a concern about how we have handled your personal information, please contact us in the first instance. If you are not satisfied with our response you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
